Communication with WCS Families

Communication with WCS Families

Published July 25, 2023

Effective communication is crucial to building relationships between schools and families, but it can sometimes be hard for parents and guardians to know who to contact.

Throughout the school year, families with questions regarding their students are encouraged to first contact the child's teacher. They know their student best and may be able to offer guidance. If a parent needs information the teacher cannot provide, the next person to contact is the school principal.

If more assistance is needed, families should contact the executive director of elementary or secondary education, followed by the appropriate assistant superintendent and then the WCS superintendent. The final person to contact is the family's School Board representative, who can be found on the WCS website.

School-based personnel are expected to return all forms of parent/guardian communication within 48 hours during the school week when school is in session. Families are encouraged to communicate important details with their child's teacher that may impact the student on a day-to-day basis in the classroom. Sharing this with the teacher allows them to support the student throughout the school day and help them succeed.

Because the classroom teacher will be focused on students and instruction during the school day, contact the school office with any immediate needs.

As a district, WCS has several different communication methods that will be used throughout the year.

Phone Calls, Emails and Texts

The district's notification system will be used to communicate school information, including delays and school closures, to families in the district.

To receive emails from Williamson County Schools, be sure to whitelist messages from @wcs.edu and @parentlink.net. Whitelisting is the process of adding an email to an approved sender list. This will ensure that emails from that sender are never moved to the spam or junk folder. For directions on how to whitelist email addresses using different email providers, visit the WCS Communications page.

WCS will continue to use more text message notifications rather than calls. Please make sure all contact information is updated in Skyward.

School employees will only be able to communicate with students through text messaging if a parent or guardian has completed a WCS Student/Employee Texting Agreement form.

Websites

In addition to the district website, which is run by the district webmaster, each school has its own site where families may find staff information, important dates, classes and more. The elementary websites are maintained by the WCS assistant webmaster. Middle and high school websites are maintained by a school webmaster. All sites will be updated throughout the year.

InFocus and Social Media

The WCS weekly e-newsletter, InFocus, is the main source of information in the district. To subscribe, visit the InFocus website and add your name and email address. You do not have to be a WCS parent to receive InFocus, so feel free to share the subscribe link with relatives, community members or anyone else who may be interested in receiving WCS information.

The district is also active on social media and encourages the community to "like" the WCS Facebook page, subscribe to the WCS YouTube channel and follow its Twitter and Instagram accounts. WCS is also active on Linkedin.

Mobile App

The Williamson County Schools mobile app is also an easy and convenient way to stay connected. Using the free app, families may add money to meal payment accounts, check Skyward, look at calendars and more. The app is available for download on the App Store and Google Play.
