Fixing Email Issues

Many parents and community members may be experiencing difficulty when using email to communicate with teachers and staff and when receiving IN FOCUS. The Williamson County Schools IT Department offers the following explanation and advice for sending and receiving email communication to and from Williamson County Schools.

If you are sending email to wcs.edu:

  1. Make sure that you have the correct address of the WCS employee that you
              are emailing.
  2. Always include a subject line and include text in the body of your email.
  3. Remove html tags, graphics and advertisements from the body of your email.
               Many webmail providers include these things by default. Check your webmail
               provider’s site for instructions on removing these.
  4. Limit html links in the body of your email.
  5. Do not request read receipts. Our particular brand of antivirus blocks these.
  6. Do not attempt to send attachments that are greater than 10 megabytes in
              size.
  7. Note that we block a variety of file extensions, including  *.exe and *.zip.

If you receive email from wcs.edu:

  1. Whitelist us. Check with your ISP or webmail service for instructions on how to
               add wcs.edu and mail.wcs.edu to your approved senders or whitelist. If your
               provider asks for an IP address, it is: 69.4.54.32
  2. If you receive the IN FOCUS newsletter, DO NOT mark it or report it as SPAM.
              This has been a particular problem with bellsouth.net, comcast.net and
              charter.net account holders. When a certain number of these recipients mark
              IN FOCUS as spam, wcs.edu is blacklisted, thus blocking email communications
              from us to these users. If you do not want to receive the IN FOCUS newsletter,
              notify the list manager at: corym@wcs.edu
  3. Make sure that your child’s teacher has your updated email address.

We are hopeful that these tips are helpful.  As for our part, we will continue to do everything in our control to strike the proper balance between protecting our users and ensuring that you can communicate with our email system reliably.
